When copying formulas with data in Excel, you need to consider the type of reference used in the formula. There are two types of references:
- Absolute References: These references use dollar signs ()tolockthecellreference,e.g.,‘A$1`. When you copy a formula with an absolute reference, the reference remains unchanged.
- Relative References: These references do not use dollar signs, e.g., A1. When you copy a formula with a relative reference, the reference adjusts to the new location.
Methods for Copying Formulas with Data
- Copy and Paste Special: Select the cell with the formula, go to the Home tab > Clipboard group, and click Paste Special. Choose “Formulas” to paste only the formula, or “Values” to paste the formula results.
- Drag Fill Handle: Select the cell with the formula, then drag the fill handle (the small square at the bottom right corner of the cell) to the desired location. This method updates relative references.
- Ctrl+C (Copy) and Ctrl+V (Paste): Copy the formula using Ctrl+C, then paste it using Ctrl+V. You can choose the paste options from the context menu or use the keyboard shortcuts:
- F4 Key: To toggle between absolute and relative references, press F4 while editing the formula.
